What techniques have I used to be more productive?

Today we’re talking about productivity and the techniques I use to be more productive.

Why do you need to be more productive?

Well, it’s quite simple: you want to do more things in less time (preferably). By doing this, you get to accomplish more tasks each day and thus you will be able to reach your goals faster, whatever they may be.

What techniques do I use to be super productive?

In addition to the techniques used in the article above, I use technology a lot to automate what I do as much as possible.

1. I use Google Calendar

– here I have synchronized 4 gmail accounts that I use (a personal gmail, one for the personal brand, one for internal work within the agency, another for work and everything related to the activity I do for clients)

Google has a very useful suite of apps for organization.

2. Google Chrome

– I have a separate profile for each gmail account

– I have shortcuts (bookmarks) for different websites that I access depending on the Google account I am in in the browser (eg: for my own activity, I bookmark social media websites, my personal website, and others)

– everything is also synchronized with the phone (so that I have the same browsing history and the same bookmarks)

3. Microsoft Swiftkey / GBoard – Google Keyboard

– any of these apps that change the phone’s keyboard is very useful

– I save a lot of time everyday using these apps because they remember the buttons you press and the words you use and give you direct recommendations + I also use VOICE to write without typing

4. Clickup / Asana / Trello / Monday / etc.

– there are task management and project management applications that I used for solo work + team work

– I stayed at clickup

5. Calendar

– I use it to schedule meetings with clients/prospects or for consulting/training sessions

– everything is automated and synchronized with Google calendars (so that my meetings don’t overlap)

– I also set sms+email notifications with reminders to make sure that people don’t forget meetings (but even so, I had moments when people forgot and missed the schedule => minus 1 point for compliance)

6. PUNCTUALITY

– this is not an app, but it is something that should be implemented by a lot of people. I manage to stick to deadlines and the times I scheduled a meeting because I respect my time and my own organization

7. I use “FOCUS MODE”

– I believe that both iOS and Android have these options on the phone;

– I basically blocked all unnecessary notifications from social media for a period of time (daily) so I could focus on working without interruptions and distractions (I only have access to messages and calls from clients, team and family)

8. I use timed tasks with the Google Tasks application

– I try to make them as simple and easy to understand as possible and limit myself from creating too many

I also make sure to:

– I don’t overload myself with tasks

– I take frequent breaks (5 min. for every 50 min – but don’t think that I do this strictly, I do it naturally and the time may differ)

– I rest well at night (I sleep 8 hours) because it helps productivity

– I really work when there is work (I don’t read stories, I don’t scroll through social media, I don’t let myself be interrupted)

BONUS:

Here is a technique used by millionaires to increase their productivity:
Instead of making a To Do list with dozens of tasks per day, try to organize it into groups of one task each time bounded.
The principles underlying this technique are:


1. Parkinson’s Law
– “the work expands to fill the time available for its completion”


2. Batching
– when you allocate groups of hours to specific tasks, it’s easier to group similar tasks together


3. Breaks
Organize your time so that you have regular short breaks and longer breaks for meals or other activities. This way you will avoid getting into burnout.
